Communications include all notifications, correspondence or reminders that Verne makes available to its users e.g., an email, a text message, an alert (UI push notification) or a letter. Verne communications are generated automatically from predefined communication templates.
The Communications Manager enables Verne to receive communication requests from business services and apply additional business rules before generating and sending the communications to the recipients.
Verne communications generated and sent to customers can be monitored by registry staff through Search Communication Delivery Log service.
Communication is delivered via one of the three communication channels:
Note: sending paper correspondence via post is another channel, however in Verne, it is represented either via an internal email containing PDF for printing, or CSV extract sent to an external printing provider, or sending a job to the printer.
Communications may be sent automatically to a number of recipients from various points in the system (e.g. registration acceptance or rejection notices, certifications or renewal notices). Regardless of the format, Verne ensures that these are handled in a timely manner. The standardisation and automation of correspondence-related outputs and tasks assists in the efficient management of communication.
Templates
The Verne register will have a number of communication templates defined for each of the channels, those templates will be then referenced by the business services. Communication templates contain all the required settings to enable additional communication business rules to run, as well as the content of the correspondence itself. These templates utilise a recipients list that is also defined in the Verne register.
Communication templates are created and maintained within Verne. The templates will define the basic layout and content of each correspondence item. Variables can be referenced within the templates and can be sourced from registry data and system values. Template configuration includes document formatting, text content, pre-populated data fields and the application of logos and fonts.
Attachments may be added to the correspondence (e.g. a PDF containing the latest entity details or PDF containing search results). Each attachment will have a template defined for it.
The following features are supported:
- templates are created and maintained by the registry staff.
- registry staff are able to define and maintain which templates are used in a business process workflow, and which templates are available for the generation of ad hoc correspondence items.
Communication templates support the inclusion of Verne data fields. When the template is used to generate a correspondence item, these data items will automatically be populated with the current data from the register. These substitution variables encompass all the attributes of the entity and also include standard business variables such as current date, time, office addresses and signatures.
Certificates
Verne can be configured to create certificates at key points in an entity’s life-cycle, e.g. at the time of incorporation. Certificates are created based on a configurable template and are distributed based on configurable communication rules as well as being available for download at any time.
Certificates can be configured to include watermarks, crests, signatures, verification codes, QR codes and other security features. QR codes will allow for verification on the validity of the certificate by any persons who are viewing the certificate. The embedded URL can take the user to the view entity details screen.
