This section provides an introduction to terms and concepts used throughout the description of a Verne register. The Glossary provides more detailed descriptions of both the same terms plus others.

| Accessibility | Verne is designed to accommodate use by those with visual and other impairments. |
| Authentication | The process whereby a user proves that they are who they say they are. Within the Verne security service, this is achieved by providing a password, along with their user name. |
| Authorisation | The process by which Verne determines the functions and data to which an authenticated user has access. Authorisation for users is determined by their roles and group membership within Verne Security. |
| Birth – Life – Cease (BLC) Life Cycle | The Birth – Life – Cease (BLC) life cycle represents a commonly recognised register concept, encompassing the lifecycle that a business entity typically undergoes, from registration, through on-going maintenance to cessation. Business Services within Verne are aligned to the BLC model to ensure that they are fit for purpose and are used in the appropriate context. |
| Branding | Verne provides the ability for registry administrators to control the “branding” of the online application. This allows control over screen layout, fonts, colours, graphics and logos used within the system. |
| Business Calendar | The business calendar is the internal system calendar used by Verne for calculations relating to task timers and due dates. National holidays are defined via the business calendar. |
| Business Register Template | The Business Register (BR) Template is a baseline register template that supports the incorporation, on-going maintenance and compliance of business entities within a jurisdiction. Examples of business entities managed by a business register include Corporations, Limited Liability Companies, Partnerships, Business Names and Overseas Entities. |
| Business Service | A Business Service is the term given to the menu items, options and web services that allow a user to interact with the Register. Typical interaction includes creation, retrieval, update removal and searching. |
| Common Services | Verne services that are not register specific and will likely be used in all types of Verne register. For clients with multiple Verne registers, these services are usually utilised across all registers. Examples include Dashboard, Shopping Cart, Communications, Compliance and Clipboard. |
| Communications Manager | The Communications Manager enables Verne to receive communication requests from different business services and apply additional business rules before generating and sending those communications. Communications services include; Templates, Channels (Alerts, Email and Mobile) and Recipients Lists. |
| Compliance | The Compliance service provides registry administrators with a series of functions to maintain and manage the compliance processes and events that are applied to entities on the register. The service enables the configuration of the business rules and then manages the compliance within the register. |
| Content Management System | Verne can integrate into your Content Management System (CMS) for delivery of the web site that surrounds and supports the register. If you do not have an existing CMS, Verne will manage the content via configuration. |
| Correct the Register | Allows for an ad-hoc correction of registry data that has been previously approved. Typically changes are due to erroneous data entry, the main goal is to ensure that the data recorded on the register is correct even when viewing historical information. |
| Dashboard | All register users, both registry staff and external users are taken to their dashboard when they log in. The dashboard is the launching point to items that they are permitted to use. Where there is more than one register, the dashboard can be configured to be a shared dashboard and provide a single hub to services across multiple registers, e.g. a consolidated work queue for all registers. |
| Data Migration | Data Migration migrates legacy data from an old system and is transformed into Verne-compliant data and inserted into the Verne Register. The Data Migration process can be significant and can impact on the implementation of the Verne Register. |
| Document Receipting | Document receipting supports the processing of offline lodgements by internal registry staff. It enables the separation of the receipting of the documents and payments, the scanning of the documents and the data entry, followed by the standard review process where configured. |
| Entity | An entity is any legal person (including an individual, a body corporate, or other entity that has rights and duties recognised at law), and includes: – an association of persons (whether corporate or not), e.g. a partnership or incorporated society – a trust – a government department, agency, or authority – a person or body established by statute. |
| Entity Type | From a Verne perspective, each different Entity on a Register will require its own Subject Template, because each Entity: – is different from another Entity (i.e. has its own attributes) – as a result, requires its own workflows, compliance, business rules, and fees relating to the establishment and on-going management of the Entity within the relevant Register often: – is governed by different legislation and regulations – requires its own certificates and licences – is managed by different agencies – has its own lifecycle with different statuses |
| External User | An external user is a logged-in user of the online register who does not work for the registry office but has a relationship with one or more entities within the register. |
| External Web Services | While Verne provides all of the necessary components required to deliver a fully functional online business registry, it also exposes a series of web services that allow customers to integrate it into their existing IT environment. |
| Filing | A filing represents a logical change to the register with details of the change. A business service may create multiple filings. The need for a filing is typically driven by legislation and the provision of a regulatory form. Filing history is held and provides a snapshot of the entity for a point in time. |
| Guest User | A user of the system who has not logged in. Depending on the configuration of Verne, guest users may be able to perform particular functions such as entity searches. |
| Identification | Identification is the process whereby a user establishes that they are a particular person. In Verne, a user identifies themselves by entering their user name. |
| Integration | Verne can be integrated into your existing IT environment through a series of integration points for Common Services. |
| Internal User | An internal user is a user of the system who works within the Registry Office and who will have extended authorisation within Verne. |
| Multi-lingual | Verne is able to support multiple languages from a single installation. The system is configured with text in multiple languages, and users are able to select their preferred language from the choices available. |
| Occupational Register Template | The Occupational Register provides the ongoing maintenance and administration of a register of professional entities (which might be a security guard, a teacher, a financial service provider or an electrical worker). |
| Payments | Payments enables users to pay the fees associated with registry services they use. Verne supports a range of payment processing options including real-time payment (for example, via credit card), deposit/billing accounts and invoicing. |
| Registry Search | Verne includes an embedded search engine that allows users to search for and retrieve entity records based on a range of search criteria. |
| Reporting | Verne provides a suite of standard reports detailing important aspects of registry usage statistics and also supports the use of third party tools to produce ad-hoc business intelligence reports. |
| Secured Transactions Template | A register where financial interests in moveable assets are recorded and maintained. (These registries are known as Collateral Registries, Personal Property Securities Registers, or in the United States as a Uniform Commercial Code Revised Article 9 (UCC) register.) |
| Shopping Cart | The Shopping Cart allows customers to order, pay and subsequently manage chargeable items. Shopping cart services include; Request Information, View Order Details and View Order Items. |
| Task | A Task is an instruction to a user to perform an action. A task will automatically appear in a user’s work queue if the task has been allocated to their team. |
| Task Escalation | Verne provides multiple levels of escalation if a task is not completed within a set timeframe. Escalation of a task involves sending notifications and/or allocating a remedial or follow up task to certain teams or security groups. |
| Trademark Template | The Trademark (TM) Template is a baseline register template that registration and maintenance of two types of Marks: Trademarks and Service Marks. |
| Watchlist | Watchlist is a Verne feature that allows registered external customers to monitor activities on entities they, or their organisation, has an interest in. |
| Work Queue | The Work Queue represents a list of tasks that a user has to complete. |
| Workflow | The Verne Workflow engine is the tool that allows automating of business requirements whereby a piece of work passes through a sequence of steps from initiation to completion. |
